Project Phase I - Planning and Start-up

February 2001

Ethics
Proposal

Ethics proposal is developed, including draft research tools, and submitted to the University of Ottawa’s Ethics Review Board.

Proposal Approved
In Principal

OWHC approves the proposal under the condition that the ethics review is successful.

March 2001

Ethics Approval

University of Ottawa Ethics Board approves proposal.

LAZO
Co-Investigator

LAZO officially selects member (a madrina) to work as LAZO's part-time co-investigator on the project.

1st Project Team
Meeting

Project Team with representation from all four partners begins to meet. A Service Agreement is developed to define roles and responsibilities of the four project partners: LAZO, Gentium, CCHC, CHRU.

LAZO leads the project coordination work until a Project Coordinator is hired.

Advisory Committee Recruitment

Letters go out to potential Advisory Committee (AC) members, inviting them to the first meeting in April.

Training

Planning for the training course on participatory research and health promotion begins.

Job description for a Project Coordinator and Lay Health Promoters are developed.

Advertisements for recruitment are developed (bi-lingual: Spanish and English).

Research Design

Research design is reviewed and adjusted.

CCHC Client Forms

CCHC client intake forms are reviewed, and suggestions to include Census 2001 categories (mother tongue and ethnicity) are discussed with CCHC administration.

Project Coordinator is interviewed and hired.

LHP/PR

Advertisement for recruitment of lay health promotion/participatory research (LHP/PR) trainees are developed (bi-lingual: Spanish and English) and circulated.

Advisory Committee (AC) Meeting

First Advisory Committee meeting: project introduction with meeting plan for 2001; four sub-committees are set up, each chaired by a project partner.

Conference

LAZO members present the project model at the National Conference of Women’s Health and Diversity sponsored by the Centre of Excellence for Women’s Health held in Montreal.

TV Interview

Interview about the project in French is aired on the community television channel (French edition of Rogers Cable TV).

May 2001

OBSP Intake Forms

Ontario Breast Screening Program (OBSP) agrees to collect intake data for the project and include mother tongue and ethnicity categories on forms.

Course Accreditation

Negotiation begin with the Carleton School of Social Work to accredit the up-coming LHP/PR training as a second-year, two half-credit course.

LHP/PR Job Posting

Job advertisement is widely circulated and appears in Spanish newspapers for the hiring of LHP/PRs.

Selection criteria and interview schedule are finalized.

Administrative Assistant

Job advertisement is circulated and posted.

Focus Groups With Service Providers

Focus group is planned, data collection tools are finalized.

LHP/PR trainees are trained in focus group data collection and note taking.

Outreach to service providers begins.

Literature Review

Literature review begins.

Key words for computer assisted data base review and selection criteria are developed.

Project Review

Two of the project partners and the project coordinator meet during weekend retreat to review how to operationalize the feminist, anti-racist, and community development frameworks; identify issues to be aware of in a multiple-organization partnership; review project to date; and plan the training implementation phase.

Research Assistant

Research assistant is hired and begins literature search.

Sub-Committees

All four sub-committees meet: Research; Training; Outreach and Dissemination; Transfer and Sustainability.

June 2001

Sustainability

Transfer and Sustainability Committee proposes key principles to guide project sustainability: ensure that community expectations raised by the project are not let down, and that trust is not lost. Accepted by Advisory Committee.

Administrative Assistant

Part-time administrative assistant is hired.

Logo

Graphic designer is contracted to develop project logo.

Focus Groups

Two focus groups with service providers are held.
Audio-tapes are transcribed.
Demographic and check-list data are entered.

Accreditation

Accreditation of the upcoming training course is negotiated with Algonquin College for a certificate in Lay Health Promotion.

LHP/PR
Trainee Selection

Over 60 applications are received; 10 are invited to an interview. LHP/PR candidates are interviewed; six are selected and added to the six already active LAZO leaders.

Training Needs Assessment

First one-day meeting with all LHP/PR trainees.
Training needs and expectations are determined.

Base-Line
Data Tools

Knowledge base-line test for trainees is developed to be administered at the beginning of the training in September.

ESL

English as a Second Language supports for LHP/PR trainees are organized for the summer months and in preparation for the Carleton ESL test, a prerequisite for all Carleton University students not educated in English.

Additional resources for improving English are made available at CCHC, including CCHC volunteers.

Literature
Review

Articles, reports, manuals, documents are located, obtained, and photocopied. A bibliography is prepared. Key additional resources are ordered.

Conceptual
Framework

Co-investigators and Research Committee review and revise the conceptual framework.

Advisory Committee

AC meets for the second time; provides input into training curriculum; potential resource people for the training are identified, including many of the AC members.

Chart
Review

Clerk collects and records retrospective ethnicity data on all clients who have had Well- Woman Check-ups at CCHC between June 2000 and June 2001.

July-August 2001

Tuition Fees

Project Team reviews budget; decision is made to cover tuition, ESL testing, and enrolment fees for the LHP/PR trainees for Carleton University and Algonquin College.

Course
Accreditation

Students who pass the course successfully will receive two 1/2 credits: ‘Social Work Practice with hard to Reach Populations’; and, ‘Participatory Research Methodology with Hard to Reach Populations’.

English
Test

All selected trainees take the Carleton Assessment of English Language test (CAEL).

Agreement with Carleton University is negotiated to wave mandatory requirement for students with low scores on the test to take additional English classes while taking the training; instead, they will take a re-test after the training is completed.

Literature
Review

Literature is reviewed; key articles are circulated and discussed (ongoing throughout the project ).

Curriculum

Course curriculum is finalized and approved by Carleton School of Social Work.

Course schedule is finalized and training supports are put into place (childcare, Resource Peopleztransportation, hourly wage for LHP/PR trainees).

Resource people are identified.

Library

Resource library (articles, documents, books) is developed and housed at CCHC to facilitate easy access for trainees.

Key resources to be read by the students are identified.

Assignments

Assignments are developed to be completed on a weekly basis.

Success criteria are developed (8 of 10 assignments will be used towards the final mark).

Analysis

Analysis of focus group data begins with input from a group of LHP/PR trainees and a CHRU research intern.
